Field & documentation support

From field conflict
to a clear question.

When your team is stretched thin, the paperwork still needs to move. DC Mechanical helps turn field observations, photos, and project information into organized documentation your team can review and act on.

Request documentation support

For mechanical contractors, project teams, and facilities staff.

How we can support your team

Less backlog.
Better documentation.

Engage us for a defined report, a group of RFI drafts, or an agreed site visit and documentation package. Scope, access, and deliverables are established before work begins.

01 / RFI DRAFTING

Turn the conflict into a clear request.

Organize the reported condition, relevant drawing or specification references, supporting photos, and the specific clarification needed. Prepare an editable draft for your team to review and submit.

02 / SITE OBSERVATIONS

Put eyes on the condition.

Visit agreed, accessible areas to observe and document visible conditions. Capture equipment identification, location notes, and photos, and flag apparent conflicts or unanswered questions for the responsible parties.

03 / CONDITION REPORTS

Make the findings easy to follow.

Build a concise report with numbered photos, equipment details, an observation log, and recommended follow-up questions. Distinguish observed facts from information that still needs verification.

04 / MEP COORDINATION DOCUMENTATION

Give the team a common reference.

Document reported mechanical, electrical, plumbing, and structural interface concerns. Prepare meeting notes, issue logs, and action lists identifying the question, responsible reviewer, and current status.

Defined scope / Clear responsibilities

Agree on the assignment.
Know what’s included.

Every engagement identifies the information available, the areas to review, the expected output, and the client’s approval process.

Typical inclusions

  • Review of the client-provided plans, specifications, photos, and notes identified in the scope.
  • Non-invasive observations of agreed, safely accessible locations when a site visit is included.
  • Numbered photo documentation and equipment/nameplate transcription where visible.
  • RFI drafts, observation reports, or issue/action logs in agreed formats.
  • A defined review meeting, revision allowance, and delivery schedule.

Outside this service

  • Engineering or architectural design, calculations, stamped drawings, or design approvals.
  • Installation, repair, permitting, trade supervision, or control of construction means, methods, and site safety.
  • Destructive investigation, concealed-condition verification, testing, TAB, or commissioning.
  • Certification of structural adequacy, code compliance, or a complete inspection of the project.
  • Authorization of design changes, additional cost, schedule extensions, or directions to proceed with work.

The client retains responsibility for reviewing and submitting drafts. Design decisions and regulated services remain with the responsible licensed professionals. Additional visits, revisions, or services require a separately agreed scope and applicable qualifications.
